6.6. Order reports

No one can dispute the importance of reporting. It helps to keep control over what is going on. Therefore in ViArt Shop great attention is given to its reporting options, namely order reports and product reports.

Order Report

In order to generate an order report, please go to Administration > Sales Orders > Order Reports.

First of all, you have to specify some filters. You can tell the system to group orders by days, weeks, months or years and define the time period as today, yesterday, last 7 days, current month, last month, current quarter or current year. Or you can type or select a specific date in the 'From Date' and 'End Date' fields. Another parameter to choose is order status; for more information about order statuses see section 4.4. (See the picture on the right).

Click the 'Filter' button to apply the options or 'Clear' to clear all fields.

The system will show all orders matching the specified criteria in the 'Orders Report' table (see the picture below).

Actually, all the fields are intuitive and show total values for the indicated period of time. However, a few of them need some explanation:

  • # orders shows how many orders have been placed for the specific period of time. The number itself is presented in the form of a link to a more detailed view of the orders (see section 6).
  • # items shows how many items (products) have been purchased. The number itself is presented in the form of a link to a product report.
  • Margin shows the difference between the selling price (shown in the 'Goods' column) and the buying one minus discount. In other words, it is your clear profit.

Note that you can sort the table values by its column names (click the corresponding column name and notice the blue up or down arrow).

Product Report

In ViArt Shop you can view sale reports in terms of products as well. This can be helpful if you want to know which products are in requisition.

In order to see a product report you have to generate an order report for a certain period of time, and then click the cell at the intersection of the '# items' column and the row indicating the time period you need.

The results should be like the following:

The two most interesting fields are:

  • Product name. You can review the product settings by clicking its name.
  • Avq Price is the average price at which the product was purchased; it is calculated taking into account all product sales including its options and discounts.

Note that you can customize the report by using the filters above and sorting the data by column names.
