For those interested on this customization, here's what I'm sending to ViArt for their response that they're not sure of what we want. I will submit tonight if there's not further suggestions... Please let me know if I left something out.

I’m attempting to think of the best way to implement this feature.
 
We want to be able to edit an order. This doesn’t only mean the cost of the item and the quantity of the items on the order, but ability to add additional items to the order, as well as add coupons or take a certain price off of the order itself.
 
Here is what I suggest:
 
1.) Ability to add/remove products from the order. When doing so, create a JavaScript file so that we can have ‘tick’ boxes to say whether or not it affects the price and another one to say whether it affects the inventory, and have it perform required tasks by doing so. This will allow us to make memo/comment type lines on the invoice. Customer of course would not be able to see these tick boxes.
a. We also want to be able to add/remove product options to the items on the order and ability to ‘tick box’ to affect inventory and total.
2.) Ability to add coupons to the order, so a coupon box would need to be implemented.
3.) Ability to provide a manual discount by inserting a manual line where we could type the description of what we want, and then a quantity box and a unit price box and then an auto-updating line total box which would effect the price if we ‘ticked’ the checkbox to affect pricing.
4.) A box that would keep track of the difference between the original order and the adjusted order. If the order needs to be a refund, have it possible to process via method of choice: customer credit (utilizing the credit system), or any payment system we have set up. (Not only the advanced ones.)
5.) Tracking: Changes to the order would need to be tracked as they are now, and assign the user name of the administrator who performed such changes.
6.) Ability to reference order to another order (creates a sub-order)
7.) Ability to edit shipping costs.
8.) Option for customer to approve order and/or order changes.
9.) Notifications (optional) for all changes done to the order both to User and Admin.

Yes Dan - It appears this covers both -
- lots of flexibility in changing sales records
- an audit trail so that all can be reconciled on accounts
 
Can you just ensure that Administration > Orders Maintenance > Export will include ALL individual changes to the order as separate lines of figures. Main order and all 'sub' orders such as additions, changes, refunds etc?

We would advise to start with some priority changes step by step. As you wish to do quite a lot of changes it would be better do them one by one.
 
Here are some comments to your list:

Please, let us know what price you mean here as when someone changes something in the item order it should automatically update all prices for the order to reflect the changes. The same question is for the stock level: in case you increase , for example, some quantity in your item order then it would be logical to update original stock level and decrease it for the same amount?
As for options it is already possible to update them when editing item order but it doesn't reflect any stock level changes presently.

It seems to be related to edit order items but with some note field for updated order item?

Not all systems support refund method so this can be quite difficult in case you want to process refund automatically for any system.
 
5) Tracking: Changes to the order would need to be tracked as they are now, and assign the user name of the administrator who performed such >changes.
 
It is already done in the way that all events have the name of administrator who performed the changes.
 
6) Ability to reference order to another order (creates a sub-order)
 
It is not very clear how exactly you want to create suborder but for sure it is possible to create such sub-order functionality.
 
7) Ability to edit shipping costs.

8) Option for customer to approve order and/or order changes.
 
Here we need more details on the changes that should be approved by users in the order.
- any changes exclude probably status change
- some changes selected by administrator like (shipping cost, order item update, ...)
 
9) Notifications (optional) for all changes done to the order both to User and Admin.
 
Would you like to select the events that should be sent to user and/or admin?

Okay, we'll go down the list Smile::
 
1.)We want 2 tick boxes next to each line on the invoice of whether to apply that line to the total. We may just want to add on products that we do not want to calculate (similar to a no charge product). This would also be the case for stock level effect. Product options ALSO needs to effect stock levels.
 
2.)Seems a little high priced to add on the coupon option, but yes, glad that one is clear.
 
3.)Create a blank line. Here we could manually add an item to the invoice that we don't necessarily have in our database. It would just be a text box with unit cost, quantity, and total boxes. (Refer to item 1, where it will also have two tick boxes (inventory and balance effects)
 
4.)In case this seems to be a hard task, have it so that we can select which one we used to process it back with a drop down box, however, don't have it actually refund the monies. We'll do this manually if we need to, but a place to record it would be nice. We do however still want ability to apply it to credits automatically.
 
5.)If it already records admin name of the changer, that's great.
 
6.)Have an option box to reference it to another order by inputting/searching for an order ID. When clicked, it records it as referenced in some fashion both for the user to see and/or the admin.
 
7.)Ability to edit shipping costs, thanks
 
8.)We want an option of whether customer needs to approve changes or not. If we select this, it will show up in their box as status customer approval needed, and when customer approves/denies, it takes such action as to approve (user confirmed) or denies (cancels) the order. Also, this would be recorded in the log as well.
 
9.)Yes, ability to select changes notified to the user/admin

Hi Dan - I am unclear why we want a coupon feature - and at $200 it needs to have a significant benefit?
 
Also need clarification [As for options it is already possible to update them when editing item order]- when a quantity of an option is changed/deleted, is the total buying cost on the order also changed?

So this will be like 400 dollars each if it's 3 of us, AND I'm going to tell Viart that if we pay for this addon, being such a large cost, that I'd prefer them to make it not a free release in the future updates to the site.

I need to make refund manually through PayPal but I would want to be able to tell the order editor that I have done it so that the account is updated. Are you looking for the system to actually manage the refund trough the card?

Doesn't surprise me. We are asking for a MAJOR feature and one that would make such a significant difference to my business and the way I work.
 
I can find $400+ towards this.
 
However it is such an important development that there must be others willing to share.

This means that it will automatically credit the user accounts credit balances if we want, but the other transactions will show up as just a memo line, but saying that it was refunded to their card/paypal/etc.

I also am willing to work with this one... it's very important to my business to have this feature implemented... I see it impossible that the other users of this system do not need this feature...
 
We should be able to easily get 10 people here... we'd be talking about 125 dollars each... for this kind of feature... it is more than worth it!! Smile

This cost is not too bad. I found it best to create mock up screen shots and get them quoted, as then there is no question about what is delivered.

I would like some clarification from Dan.
 
Would this order editor be compatible with payment method such as 2Checkout.
 
For e.g.
 
A customer places an order on my site and upon checking the stock, it has run out. So the customer is informed of it and given 2 options, either to refund the complete order or refund the amount for the particular product which is "out of stock"
or
replace the "out of stock" product with another product.
 
The changes first have to be made at the 2Checkout Admin section.
 
If the customer requests a refund for that particular product, let say $53.00. How would this be reflected in Viart ?
 
From where i see, the changes has to be made both at 2Checkout and Viart. Though the Viart changes would only be for information purposes as the actual refund takes place at 2Checkout.
 
I would be willing to join in if this works out with 2Checkout as this is the payment system i use

The refund option is manual entry. You would be able to create a line that would show that 3 products were returned. This would show a credit balance. Then, you would apply the credit balance to the credits or click on the 2checkout payment option, and it would just show it as a memo. It will not automatically refund the money back to the customer. Refunds should be handled external.
 
Right now, we have ability to set independent statuses for each product (eg: backordered)
 
Chris and I have opted out on the coupon for reason that we can add a temp product called coupon and enter a description for it and a deduction amount.
